Exploring genetic genealogyWhen I was at the RootsTech conference in February, I was inspired to check out getting a DNA test to help me in my genealogy research. I hadn’t been tempted before, primarily because genetics always made my eyes cross when I studied it in biology class. But I grew to understand at RootsTech (primarily from the great keynote from Dr. Spencer Wells) that the more people who get genetic testing and open their results to others, the more valuable it becomes. It’s part of that genealogical generosity I blogged about after the conference.

Today I was reading a primer on DNA testing for ancestry on the terrific blog Family History Daily. It was really informative, but I have to admit I’m getting a little paralyzed by the options. I did a little Google search and found myself wishing I could find an article in which someone would just tell me what test to take. I did find this terrific roundup, Top Genetic Genealogy Tools by Blaine Bettinger on Family Tree Magazine’s blog, and was struck by the last sentence, “Having a clear purpose in mind–such as finding out where your maternal roots lie or whether you’re related to someone else with your surname–is essential to choosing the right genetic genealogy test.” That makes so much sense. Keeping your goal in mind is always helpful in making choices.

Now I realize I don’t really know my goal. I’m motivated by curiosity and the desire to be helpful but that’s not much of a goal to guide my choice of which test to take.

So I thought I’d turn to the helpful readers of this blog. Have you had a DNA test to help your genealogy? If so, what was your goal? And what service did you use? Were you satisfied with the test results? Would you recommend that testing service?

I appreciate any advice or experiences you’d like to share!

Document everything

Today, I was trying to verify which ancestor of mine had fought in the Civil War as a substitute. I remember finding his records on Fold3.com and seeing the document that designated him as a substitute for an individual of means who could afford to pay my ancestor to fight in his place. I thought it was Benjamin Franklin Igleheart, my great-great grandfather. But when I looked at his record in my software, I found no notation whatsoever about that.

At least I remembered having found a substitute soldier, even if I couldn’t remember who it was. So I looked through the records in Reunion of all my male ancestors who were born at a time where they might have served. Nothing. I tried searching on Reunion but got nowhere. So I finally walked across the room and pulled out B.F. Igleheart’s paper file. There it was: all the info that I had printed out, but not otherwise documented. Bad researcher!

If I had finished going through the paper files of the Adams ancestors, I would have found this info and documented it. But that process probably won’t be finished for quite some time.

I’m so glad I have committed to documenting everything by entering information into my software, with source citation, and creating electronic files of the digital images of the documents. I am conforming to my file naming convention and I’m tagging the digital files so I don’t have to have my papers file to find something.

I used to believe that I would never forget certain facts I’ve learned through my genealogy research. As those facts add up (and my research grows), I know that’s just simply the case. Now all I have to remember is to enter everything into my Reunion software and tag and properly file all my electronic files.

Don’t let the backlog get you down

Lately I’ve been thinking about the backlog of electronic files that I should tag with metadata and that I should rename for consistency and ease of access. (I wrote about that in this post, It’s all about access.) When I think about doing all that, I get overwhelmed. And then I don’t want to do any of it.

I realized though, that I don’t have to wait until the backlog has been completed to start establishing new patterns with new files that I save. It’s just like I tell my clients who have an overabundance of accumulated mail in their homes: They don’t have to go through all the old mail before figuring out how to handle the new mail.

So starting today, I’m creating a simple file naming system for individual files. (I think it’s going to be Year-Document Type-First Name-Last Name). And all new files will be named accordingly.  I’ll also work on creating the habit of adding metadata immediately after saving a file. So my new files will be in good shape and I won’t be adding to the backlog. At the same time, little by little, I can work through my backlog of files and change file names and add metadata tags. I can do it systematically. And I can also just edit the file name and add metadata every time I find myself accessing a file.

One of my personal mantras is “Let it be easy.” This feels like an easy approach to a project that’s been causing me a little stress.

Edited in 2017 to add: I actually settled on a slightly different file name convention. It’s Year Document Type-Name-Location. For example, 1943 Death Certificate-Elmer Adams-Olympia, WA.jpg

Find genealogy files on your computer with metadata

I’m creating a reasonable file structure on my hard drive, but I can’t put a ton of information about a document in the file name. Happily, there’s a way I can find all the documents or photographs pertaining to one thing (like a location or a surname) and that’s by tagging my files with metadata.

When I went to RootsTech last month, I heard a couple of talks on metadata (one Mac focused, one PC focused). So I know more than I did  before the conference, but I’m certainly no expert. Here’s a brief primer on metadata, with links to more in-depth information.

What is metadata?

The word metadata literally means “data about data.” So it’s information about what’s in a file or a photo. Think about a caption with info scribbled beneath is or on the back, saying who is in the picture, where it was taken, and when. That’s metadata. You can attach the same sort of information to your digital photos and scans, embedded in the file, without marring the photo.

If you’re familiar with tagging a document with keywords in Evernote or Springpad, you’ll understand the concept. Think also how you tag people in photographs in Facebook. Just use terms you can imagine searching on.

How do you add metadata?

Very generally, you add metadata by right-clicking on a file within the Windows Explorer or Mac Finder, then clicking on Properties (Windows) or Get Info (Mac). On a Windows machine, you’d then click on Properties, then on the third tab, Details. You’ll see a form you can fill in with varying types of data. On a Mac, it’s a little more free form. After clicking Get Info, you fill in the tags you want in the Spotlight Comments section at the top of the info window. Use a semicolon to separate tags.

You can also download software specifically for adding metadata. I need to research that more for my own files. I do know that I want to keep this as simple as possible.

Why bother using metadata?

Even in the most organized file structure, you can only fit so many characters in a file name. And long file names can become unwieldy. Embedding metadata allows you to easily find the files you’re looking for, even if the search terms aren’t those you’d put in a filename. Also, the information stays with the file when you share it. The photo above, of my great grandfather’s meat market in Nebraska, has no metadata attached to it, except that the name of the cousin who sent it to me. I have many photos like that and I hope to make them more meaningful by embedding metadata.

How can you learn more about metadata?

I know I’m not giving you a whole lot of information here, partly because I use a Mac and don’t have a Windows machine at my fingertips to test things on.  Here are some online resources to help you get started.

My goal with this post was to make you aware of the concept and the utility of metadata and urge you to consider tagging your documents. Don’t worry about being perfect. Any data you add will be helpful.
