Do you have any genealogy documents hiding in your home?

birth certificate Dave Adams cropped2In an extreme example of the perils of letting household filing pile up, I found my grandfather’s birth record over the weekend.

Over the last few years, I’d put some effort into figuring where he was born. It was mysterious to me because the census records said he was born in Oregon, yet his residence was always Washington. My father, his son, had no recollection of any family history in Oregon. Two years ago, I blogged about it when I discovered a birth announcement in a Portland paper. At that time I said I had written away to the state archives for a copy of the birth certificate. Alas, I received a letter from the Oregon Health Authority saying that no birth record was found.

Fast forward to October 2015. I decided to stop ignoring a pile of household filing that had been sitting on top of the file cabinet for a long time. They were mostly paid bills, some records of home repairs, things like that. I file pretty consistently, I had just let this pile happen slowly over time when I had items that would take a little extra effort to file. I’d gone without touching it for some time. It had become part of the landscape.

I set my timer for ten minutes and filed. Some of the items had aged out, so I could just throw them away. It took four or five ten-minute sessions over a couple of days before I reached the bottom and, to my embarrassment (I’m a professional organizer!), I realized that the items at the bottom of the pile were set there in 2007.

Among them was a file marked with my parents’ address. In it were some documents I had snagged when cleaning out their file cabinet in 2007. I remember that epic file-cabinet clearing. My parents had saved decades’ worth of certain paid bills. There were home purchase documents and some fun records, like the hospital bill for my birth in 1962 ($261.30), which was also in the file in my filing pile. But the real gem was a certified copy of my grandfather’s birth record, issued in 1944. Apparently there was never an actual birth certificate, since this copy was based on “affidavit and documentary evidence.”

In 2007, when I saved that document from being shredded with the rest of my parents’ old records, I was interested in genealogy. But wasn’t working on it properly or seriously. I knew enough to save that birth record, but I wasn’t interested enough to file it away properly or even remember ever having seen it.

Needless to say, I was delighted, if a little chagrined, to find it. I’ve added it to the source list in my family tree software. I’ve scanned it and filed it electronically and filed the copy among my paper files. It’s now safe and sound where it belongs.

Banishing the stubborn pile

Banishing the stubborn pileFor the past few months, I’ve had this one pile on the corner of my desk that contains primarily genealogy items. When I’m hurriedly putting away the stuff cluttering my desktop, I just keep straightening that pile and leaving it there. It’s almost become a feature of the landscape of my desk. Somehow I’ve adjusted my thinking so that I have been considering my desktop clear even with that pile sitting there.

I think one of the reasons that I wasn’t dealing with it was a perception that it would take some time to really process the information in it. I was afraid that if I rushed it, I might lose valuable clues the pile might contain for my genealogy research. And I simply wasn’t taking the time to do it. (Work has been very busy lately.)

I know if I take some focused time and go through that pile, I will further my research and I won’t have an unsightly pile on my desk. But it hit me this morning that if I start but don’t finish, I’m still better off than not starting at all. So I took a photo of the pile, and wrote all the text above this line. Then I set my timer for 15 minutes and started going through the pile.

Here are some of the things I found in the pile:

  • Notes from my research trip to Kentucky and Alabama. I added tasks from those notes to my Genealogy To-Do List for the appropriate surname. Then I filed the notes in my paper files.
  • A packet of information I’d sent for from the the State of Alabama Archives pertaining to my great great grandfather, Laban Taylor Rasco. I put a sticky note saying “Analyze/process” on the packet and added that task to my Rasco To-Do List. Then I filed the packet in that couple’s file.
  • Notes from my notebook that I took on the research trip. One page had notes on Adamses on one side and notes on Rascoes on the other. I scanned the Rasco side, printed it and put in in my Rasco file for later reference. I filed the original sheet in the appropriate Adams file.
  • Notes written on several pages of two notepads I keep on my desk. I tore off the notes, logged any tasks on my To-Do list and filed or tossed the notes. Then I put the notepads where they belong.
  • A random list of how common my family surnames are. Some time ago, I found myself on a website (which I didn’t source) where you can enter a surname and see how common it is. I typed the data into Evernote so I can find it later if I ever remember it.
  • A small sticky note with a list of death certificates I’d found recently that needed to be added to my Reunion software. I checked each name to see which certificates had been entered already.Ā  Two out of five still needed to be added and I noted that on my to-do list. I threw away the sticky note.
  • Some brainstorming notes about this blog. I filed them and made a note on my business task list to review them.

When the 15-minute timer went off I had just a few more pieces of paper to deal with. So I went ahead and finished, then did the filing.

Eliminating that pile took no more than thirty minutes. This is a pile I’d been looking at for several months. It had been mildly stressing me out, because I didn’t know its contents and it was in the way.

Now I feel in control of my research, I have clear next steps and I feel more eager to work on it. Plus I have a clear desk to enjoy. That’s the best 30 minutes I’ve spent in awhile!

Making organizing easier

How to make organizing your genealogy easierIf you’re like me, the thrill of doing genealogy research is about uncovering clues and putting them together to make exciting discoveries. It’s about connecting me with others. And it’s about being a detective.

If you’re going to do a good job of putting clues together, your information needs to be organized. If you research without keeping track of your findings, your chances of success–or at least of verifiable success–are reduced. So, in my opinion, it’s critical to keep your genealogy information organized.

But so many people don’t enjoy the task of organizing information and papers. So they let an overwhelming backlog build up. I’ve chosen to make my living helping people get organized, so of course I enjoy organizing. But I know that for many people it feels like drudgery. If you’re someone who doesn’t like organizing your family history, how can you make it easier for yourself? I have some ideas.

  • Recognize the importance. Make getting and staying organized a priority by acknowledging that being organized makes you a more effective researcher. When you’re organized, you can easily put clues together and you don’t have to rely on your memory of names and dates–that information is at your fingertips.
  • Divide organizing projects into small chunks. To keep from being overwhelmed by your backlog, work on just a little bit at a time. Set a timer and work for a set (short) period of time. Or organize a small area of your genealogy space–a pile on your desk for example. Keep repeating until your backlog is gone.
  • Stay on top of it. Create a habit of organizing at the end of each session. When you’re finished with a genealogy research session, build in time to file papers or electronic files. Doing this each time you research will keep a backlog from forming again.
  • Jettison the “To File” file. Rather than putting something in a file or pile of papers to be filed later, just file it now.
  • Let go of perfection. There’s no such thing as perfectly organized–don’t even strive for it. Instead, set a goal of being organized enough.
  • Let it be easy. I always say that organizing systems should be as complex as they need to be and not one bit more. Don’t make yourself jump through hoops to put things away. (See my blog post How accessible are your genealogy materials? for more information on that.)

If you get through your backlog in small chunks at a time and create a habit of organizing as you go, you can stay organized relatively painlessly. And I’m willing to bet that if tend to resist organizing, this will make your genealogy research not only more effective but more enjoyable!

How accessible are your genealogy materials?

Pile of papersDo you have a good place to store your genealogy stuff? Many of us don’t have the luxury of a dedicated genealogy room. And even if we do, that doesn’t mean everything’s accessible. When your material isn’t easy to get to, it can be hard to do (or start) genealogy research.

Organizers talk about the concept of “prime real estate,” where you reserve the most accessible storage spaces for the most frequently accessed materials. You want to make it easy to get stuff out and put it away again. When your research materials are accessible, one barrier to doing the research vanishes.

Take a look around your genealogy research space. Here are some tell-tale clues that there’s room for improvement:

  • Papers in piles
  • Books or papers on the floor
  • Cluttered work surfaces
  • Folders or binders without labels

If you can see yourself in this description, maybe it’s time to think about improvements.

Here are some things to consider:

  • Throw alphabetical order to the wind and put the binders or file folders containing your current research front and center
  • If you use binders and you find that you pile papers rather than placing them in the right spot in the binder, consider switching to file folders. (See my earlier blog post, Folders or binders? for more info.)
  • Try to create a habit of putting papers away after you use them, or creating a small stack to file on a designated day each week
  • Use a timer to help you focus on getting rid of your backlog (file for 15 minutes a day, for instance)
  • Streamline your system with some file clean-out sessions where you get rid of duplicates or unnecessary pieces of paper
  • Label the heck out of everything! (Don’t feel like you have to use a fancy label maker…regular Avery labels printed out on your printer will do)

This isn’t an all-or-nothing proposition. You don’t have to reserve an entire weekend for a complete workspace overhaul. You can make small improvements, a little at a time. (I’d start with analyzing what’s being stored in your prime real estate.)

An end-of-the-year audit of your storage space might pave the way for a breakthrough year next year!
